Holiday

You are entitled to paid holiday from the first year of your employment. To receive fully paid holiday, you have to be employed for a full calendar year. Teaching staff need to notify their head of department about their planned holiday by 31 May.

In case of illness during your holiday

If you fall ill while on holiday and wish to change your holiday days for sick leave, you must report this in PASS on the first day of your illness. This applies even if you have a medical certificate.


Holiday if you have not worked the full year

If you are not employed for the entire calendar year, your right to paid holiday is reduced to correspond to the number of days you have been employed. However, you may still be entitled to unpaid holiday, that together with your paid holiday entitlement, amounts to five weeks of leave. If you were employed after 1 September, you may have the right to combine paid and unpaid holiday up to one week of leave for that year. Your holiday entitlement is specified on your payslip.

Holiday scheduling for teaching staff

Teachers are assumed to schedule their holiday during outside of term time. Holiday should be scheduled cohesively in the summer starting on Monday after Midsummer's Eve. This follows the local agreement on scheduling of holiday for teachers. But if you make a written agreement with the head of department or equivalent before 31 May, you may schedule holiday during other periods.

Doctoral students must use all days of holiday before their doctoral employment ends.

At least 20 of your vacation days must be used during the period of June–August according to the Swedish law on holiday entitlement. Application for holiday is made in PASS.

If you want to save your days of holiday for the following year, you have to come to an agreement with your manager no later than 31 May. The amount of saved holiday days can be a maximum of 30 days.

If you have not applied for holiday and have not specified that you wish to save holiday by 31 May, your head of department is entitled to schedule your days of holiday for you. This follows by the local agreement.

Who is defined as "teaching staff" is regulated in the Appoinments procedure for Umeå University. This also applies for doctoral students, teaching assistants and clinical assistants.

Apply for holiday

Apply for holiday as early as possible so that it can be planned into your work and approved by your manager. Your manager works in consultation with you to decide on when you can take your holiday. If you have worked the whole year, your holiday must be distributed so that you have at least four weeks holiday between June and August, unless you and your manager have agreed on some other arrangement. Your manager is entitled, unless there is an agreement, to schedule your holiday according to the local agreement. If you and your manager are not in agreement regarding your holiday, both the employer and your trade union can request negotiations.

Save holiday?

If you are entitled to more than 20 days of holiday for one calendar year, you can save days of holiday until a later year if you have an agreement with your manager. However, you may not accumulate more than 30 days of saved holiday. If you have more than 30 days of saved holiday accumulated at the end of the year, you will receive those days in payment the following year, usually in February.

When you plan your holiday, your days will be taken from this year's holiday entitlement before they are taken from your saved days.

Calculation of holiday

Holiday is calculated in whole days. If your working hours are distributed evenly Monday to Friday, each regular working day will be counted as one day of holiday day and one whole day of holiday is deducted per working day.

Saturdays, Sundays and public holidays do not require the use of holiday days. This includes Easter Eve, the Swedish National Day, Midsummer's Eve, Christmas Eve and New Year's Eve 

There is no difference between full-time work and part-time work regarding the holiday entitlement.

Holiday pay

If your employment ends and you have days of holiday left, you will instead receive holiday pay for those days. The payment is usually made the month after your employment ended.

If you are employed by the hour, your hourly wages include a 12% holiday pay.
