New cancellation rules for jointly bookable rooms

Following recommendations from the Pricing Council, the University Director has decided on new rules for cancellation to apply from 1 January 2023. The purpose of the new rules is to increase the use of the premises. The cancellation rules apply to jointly bookable rooms booked by employees at Umeå University.

The new cancellation rules

For classrooms, lecture halls and group study rooms, the following applies:

• If you cancel 31 days or more before the booked time, no charge will be issued for the booking.
• If you cancel 15–30 days before the booked time, you will be charged 50% of the cost of the booking.
• If you cancel 0–14 days before the booked time, you will be charged the full cost of the booking.

For conference rooms:

• If you cancel 8 days or more before the booked time, no charge will be issued for the booking.
• If you cancel 0–7 days before the booked time, you will be charged the full cost of the booking.

The purpose of the change

The purpose of the new rules is to increase the use of the premises.
The current rules allow you to book premises far in advance, but then cancel without charge a couple of days before the booked occasion. This has made it difficult for others to book and use the premises on time. Many premises are therefore left empty, even though there is a need for premises.

The use of premises needs to be optimised from a sustainability perspective too. An increased degree of utilisation of existing premises reduces the need for new construction.
