Umu card

The Umu card is a multifunctional card that serves as an access card, library card, and printing card.

The Umu card is a multi-function card for employees and students and has the following functions:

  • Access card
  • Library card for the University Library
  • Copying and printing card.

The umu card is valid at Campus Umeå, Umeå Arts Campus and Campus Örnsköldsvik. 

How can I get the Umu card?

To be able to apply for an Umu card, you must first activate your Umu-id. After that you can place your order for your card in the Umu card portal.

You choose in the portal where you want to pick up your card. When the card is ready, you will receive a notification in the portal and via email. Remember to bring a proof of identity when picking up the card.

How the Umu card functions

Entry to the University's premises

The access you need are automatically added to your Umu card and are determined by the unit you belong to. If you require extended access, please contact the Campus Services Office in the building where you are seeking access. Before contacting them, you need permission from the person responsible for the premises. Read more on the Access to premises page

Please note that:

  • Infocenter cannot change or add access.
  • The Umu card does not function as an access card in University Hospital of Umeå (NUS) premises.

Library card

Your Umu card works as a library card for the University Library, Medical Library, UB Arts Campus and Archives and Special Collections.

Printing, copying and scanning

You can use your Umu card to identify yourself at the printer when you want to print, copy or scan. You can print from University computers or from your computer and collect your printed pages from any printer within the University. Your Umu card is linked to the department, unit or equivalent where you are employed. The cost of your printed pages and copies will be invoiced there.

Forgotten your card at home, or misplaced it?

If you, as an employee, have forgotten your card, a temporary card can be issued. The temporary card can be issued at any service office within the university, including Infocenter. Please bring identification.

Temporary cards are typically valid for the same day and provide the same access as your regular card. However, they cannot be used as library cards or for printing. Your regular card will be blocked until the temporary card is returned.

If you have lost your Umu card, you should go to the Umu card portal and block the card. There you can also order a new card.

Guest Card

For guests visiting Umeå University and needing an access card, it is easiest if you as the host apply for this. There are two approaches depending on whether the guest has access to electronic identification or not.

My guest has electronic identification

For guests who have access to BankID or Freja eID, the following applies:

  1. Register your guest in the administration tool.
  2. Once your guest has received their Umu ID, you as the host should submit a request to the Service Desk describing that your guest, with their Umu ID, should have an access card with permissions.
  3. The guest gains access to the Umu card portal and orders an Umu card for employees.
  4. The guest receives an email when they can pick up their Umu card at Infocenter. You as the host cannot collect the guest card.

My guest does not have electronic identification

If electronic identification is not available, manual processing is required. You do this by contacting your local service office. Provide the following information about your guest:

  • Name
  • Personal identification number
  • Email
  • Phone
  • Contact person at Umeå University

Once the order is placed, both a Umu ID and a Umu card are requested. The guest is then given access to the Umu card portal and can order an Umu card for employees. This is collected at Infocenter.

Suppliers

Different rules apply to suppliers and external parties who need to move around the premises depending on the scope of the work. Requests to establish cards for these must come from the unit/institution; the suppliers themselves cannot apply.

Suppliers and external actors are distinguished between those who are recurrent over time and those who only wish to access occasionally.

There are three types of cards that can be issued: loan cards, personal external cards, and function cards. It is the service offices that decide which solution is applicable for each supplier.

Occasional Occurrences and Emergencies

For work performed at planned occasional occurrences and emergency situations, a so-called emergency card can be issued by all local service offices, but not by Infocenter. These are registered with the necessary permissions for the intervention. Examples of occasional or emergency occurrences could be, for instance, a plumbing intervention or installations.

Recurrent Supplier and Function Cards

For recurring suppliers or contractors, these will be registered as suppliers and company names.

The definition of recurring is a supplier who, with fixed operators, performs work on a regular basis at Umeå University. As the contract manager, you apply for Umu cards for your contracted suppliers in the following way:

You as the contract manager send an email to passagen@umu.se. Provide information about the company, organization number, contract duration, and a responsible contact person in the company. The entity in turn receives login details to a portal. There, they register their operators with personal information and order Umu cards for them. All cards are personal for recurring suppliers.

Function Cards

Function cards are used for entities where it is difficult to link individual persons to a card (for example, postal deliveries where there are different distributors every day).

These entities are issued function cards that can be used by several persons within the same company. These cards are only given authorization for specific areas, for example, mailrooms or garbage rooms.

Requirements for Using Function Cards
As these are not personal, the university requires that the entity establishes a log where they can specify to the university's security function who had the card on a given date and time. This log must be kept for three years.
