International business travel

Before departure

• If you are travelling abroad and have a smartphone, download the "UD Resklar" app to access the information available about the country you are intending to visit. Alternatively, study information about the country on the Ministry for Foreign Affairs' website. Follow the recommendations issued by the Ministry for Foreign Affairs.
• Study the Swedish Legal, Financial and Administrative Services Agency's publication "Goda råd på tjänsteresan" ("Good advice for business travel").
• If you are travelling abroad, always take your passport and any necessary visa. Many countries require the passport to be valid for at least six months from the date of entry. Visa information on the Ministry for Foreign Affairs' website gives you guidance.
• Take a copy of your passport and save it digitally in a secure, accessible location.
• If you are travelling within the EU, always take the European Health Insurance Card (Swedish Social Insurance Agency). This card entitles you to emergency medical care according to the same rules that apply for the country's citizens.
• When travelling to countries outside the EU or non convention countries, you should bring with you a personal insurance certificate. Contact your HR support.
• Only take digital devices with you that you really need.
• When travelling outside the EU, if possible leave your own computer and mobile phone at home, and borrow a computer and phone to take with you.
• Make sure that software and apps on your mobile devices are up to date, to achieve the best security protection.
• Your laptop should be equipped with hard drive encryption ("Bitlocker"). Bitlocker protects your computer/hard drive in the event of loss through encryption. Contact Servicedesk to have hard drive encryption installed.
• Your computer must be set up with the University's VPN service when using external networks (Instructions for VPN are available at Aurora).
• Save contact details and important phone numbers in other ways, not just on your mobile phone.
• Report your travel plans to your workplace and relatives. Keep in touch regularly!

During the trip

• Never leave digital devices unattended. Lock your laptop, mobile phone, etc. in the hotel room's locker for storing valuables if you leave the room.
• Avoid connecting your devices to public open Wi-Fi networks and always use Eduroam where available.
• Even connecting to password-protected networks, for example in hotels, can pose major risks. Adopt a critical attitude to questions asked when connecting to the network.
• In public environments, use privacy filters on the screen so that other people cannot see your documents.
• Disable Bluetooth and location services that you do not need during your trip.
• Avoid using USB memory sticks.
• Always use the University's VPN service to access your resources in the University's internal storage areas.
• Use your own charger. The wrong charger can damage your devices, and there are chargers that are rigged with malware.
• In the event of outbreaks of war, natural disasters, major accidents or crisis situations at the place you are located, contact the Swedish Embassy or consulate in the country.
• If a war or other crisis situation arises, contact relatives and the workplace as soon as possible. Use regular contact paths. In major crisis situations or if regular contact paths do not work, phone the University's internal Emergency Number +46-90-7869700. Calls are answered around the clock by SOS, and contact can be established with the University's crisis group.

After the trip

• Perform virus checks on any devices, including USB sticks, that you took with you on the trip.
• Be on the alert for any phishing attempts that may be related to your stay abroad.
