Recommendations for setting up online defences of doctoral theses

As a result of changes necessary due to COVID-19, the need for online defences of doctoral theses is increasing. The University has now provided a first recommendation for how to carry out an online defence of a doctoral thesis in Triple Helix in the University Management Building.

Changes have been necessary during this spring to enable public defences of doctoral theses to be carried out. Given the importance of allowing the general public access to defences of doctoral theses, the University has investigated possible solutions for holding online defences of doctoral theses.

The investigation has taken into account suitable premises, technology, functionality, reliability, safety and legal aspects in the technology used and redundancy and support regarding technology use and meeting techniques.

Instructions for an online defence of doctoral thesis in Triple Helix

ITS has started by developing instructions suited for the bookable room Triple Helix in the University Management Building, and the equipment available there. In collaboration with the Campus Services Office, ITS has made sure that the services Zoom and Teams can be used beside the existing Starleaf service.

More recommended premises can be offered

The University is now trying to extend the number of recommended premises offered for online defences of doctoral theses as well as continue to develop the instructions and forms for support.

The idea is that both Zoom and Teams should be able to be used on the side of any other solution available in the room. Aula Biologica has been discussed, but this lecture hall has suffered a water damage and cannot be used at the present.

In the long run, even after COVID-19, the need for online participation in defences of doctoral theses may remain and the matter will be further investigated.
