Professor, associate professor and assistant professor

Recruitment request
• A recruitment request must be submitted together with proposals for an appointment profile to the Faculty Office for approval by the Dean.*
• The faculty's human resources specialist opens an appointment case in the e-recruitment system Varbi.

Job advertisement
• A job advertisement is drafted by the department in collaboration with the human resources specialist and based on the approved appointment profile.
• Advertisement of the appointment is to be discussed with a human resources specialist responsible for job advertisements on umu.se, the staff web and at the Swedish Public Employment Service.

External experts
• When the application deadline has passed, the department is to send proposals for external experts to the Faculty Office. The dean appoints the external experts.

Appointment Committee (First assembly)
• When the first assessments have been received from the external experts, the case is to be tried in the Appointment Committee for associate professors. The assembly decides which individual or individuals are to be offered a job interview. The head of department, or the person appointed by the head of department, is co-opted for the Appointment Committee's assembly.
• The department is responsible for calling to interviews, potential trial lectures and reference checks. At least one member of the Appointment Committee as well as external experts are to be included in the interview group. Minutes must be kept of all interviews and trial lectures. Reference checks must also be documented.

Appointment Committee (Second assembly)
• After completed interviews, trial lectures, reference checks and incoming external expert assessments, the case is to be processed again in the Appointment Committee. The committee ranks applicants and proposes a candidate for the position. The head of department, or the person appointed by the head of department, is co-opted for the Appointment Committee's assembly.

Appointment decision and terms of employment
The Dean* decides on appointments. Prior to decision-making, the following must take place:


• Minutes from the Appointment Committee assembly are sent to the head of department, the human resources coordinator at the department and the human resources specialist at the Faculty Office.
• The head of department consults the Faculty Office regarding salary.
• The head of department contacts the candidate proposed for the employment to agree on salary and other terms of employment.
• When appointing an assistant professor, the assessment grounds that will be applied in a promotion to associate professor must be established, according to section 6, Promotion, of the Appointments procedure for teachers at Umeå University.
• Appointments are to be processed in the faculty's collaborative group (Facklig samverkansgrupp, FSG).
• Subsequently, the department sends two copies of the employment contract (unsigned) to the Faculty Office.

Once the Dean* has approved the appointment and the employment contract has been signed, the human resources specialist at the Faculty Office closes the case in the e-recruitment system Varbi and the period of appeal starts.

* When appointing a professor, adjunct professor or visiting professor, the Vice-Chancellor reaches decisions on recruitment requests, appointment profile and appointment.

Research fellow

Recruitment request
• A recruitment request is submitted to the Faculty Office for approval by the dean. The recruitment request must be accompanied with a proposed appointment profile, documentation from a funding body such as application, and a statement, contract, minutes or other documentation supporting the person's ties to funding.

Job advertisement
• A job advertisement is drafted by the department in collaboration with the human resources specialist and based on the approved appointment profile.
• Advertisement of the appointment is to be discussed with a human resources specialist responsible for job advertisements through the e-recruitment system Varbi.

External experts
• When the application deadline has passed, the department is to send proposals for external experts to the Faculty Office.

Postdoctoral fellow

Processing of postdoctoral appointments take place in accordance with the department's delegation procedure from advertisement to appointment.

Job advertisement
• A job advertisement is drafted by the department in collaboration with the human resources specialist and based on the approved appointment profile.
• The department publishes the case in the e-recruitment system Varbi for advertisement on umu.se, the staff web and through the Swedish Public Employment Service.

Selection process
• The head of department appoints the recruitment group consisting of docents or professors. If necessary, an external expert can be appointed.
• After completed interviews and reference checks (to be documented), the recruitment group ranks the applicants.

Appointment decision and terms of employment

The head of department decides on the appointment of postdoctoral fellows.
• The head of department consults the Faculty Office regarding salary.
• The head of department contacts the candidate proposed for the employment to agree on salary and other terms of employment.
• Appointments are to be processed in the faculty's collaborative group (Facklig samverkansgrupp, FSG).
• The head of department and the person who is offered the employment sign the employment contract.
Once the head of department has approved the appointment and the employment contract has been signed, the department closes the case in the e-recruitment system Varbi and the period of appeal starts.
