Changes linked to email accounts moving to Office 365

This page explains the changes and temporary problems that may arise as a result of the move to Office 365 (O365) and how they will be managed. Please make sure to read this information before moving your email account to O365.

Outlook email client

We recommend that you use the Office 365 version of Outlook as your email client. This service is supported by the University and help is available from Servicedesk.

The University will no longer be supporting IMAP.

Webmail via o365.umu.se

Access your webmail by logging in to the Office portal. Use your Umu-id to log in to o365.umu.se.

De-activation of email forwarding to external addresses

For security reasons and due to legal requirements, it will no longer be possible to forward your email to external addresses. As we change over to the Office 365 email service, the forwarding function will be de-activated.

Temporary problems during the moving period

Temporary problems may arise during the moving period. Most of these will be due to email accounts being located on different servers.

Problems with resource emails and shared mailboxes when some users have moved to O365 and others have not

Do you share a mailbox with several colleagues? You might experience some problems with shared mailboxes if some of the users have moved their email to O365 and others have not.

To avoid these problems, it is best if those of you using shared mailboxes move your email accounts to O365 at the same time, and then move the shared mailbox. This will make sure everything is in the same place, which will reduce the risk of problems occurring.

You will need to use webmail for sending emails from a resource email or shared account that is still on-premises

You will need to use Webmail if you have transferred your email account to O365 and want to send an email from a shared mailbox that is still on-premises. Once everyone who uses the shared account has moved their email accounts to O365, the shared account can be transformed into a shared O365 mailbox. You will then be able to send emails using the Outlook client.

Resource emails and shared mailboxes for Mac users

Mac users may encounter several problems with resource emails or shared mailboxes before all users have transferred their email to O365.

To avoid these problems, it is best if those of you using shared mailboxes move your email accounts to O365 at the same time, and then move the shared mailbox.

Problem with shared calendars during the transition period

Do you share calendars with one or more colleagues? You might experience certain problems with the shared calendar until everyone has moved their email account to O365.

Distribution groups should be moved to O365

You will lose any authorisation to administer distribution groups during migration unless the groups are moved to O365.

The easiest thing to do is to move the distribution list once the majority of list users have moved their email accounts to O365. The distribution group will then be visible in O365.
