Mobile phones

If you travel a lot in business, or have other needs for a mobile phone, you may be entitled to having a work mobile phone.

The University mobile network operator is Tele2, and there are two contracts to choose between. In most cases, contract 1 is sufficient, but if you have extended needs for data, you may be entitled to signing up to contract 2. Your head of office or department must then submit a written motivation as to your requirement to the University telephony administrator.

For those having problems with coverage, Tele2 has developed a special solution called "Tele2 Open". There is also a solution for those who need a large amount of data, called "Mobil extra surf", and for you who need a contract that is not personal. The latter often deals with a so-called "Teknisk abonnemang", if the subscription is used in a technical solution or that several people share a mobile phone.

Cost for the office or department is SEK 83 per month and contract. Cost for the office or department is SEK 128 per month and contract.

Some services are blocked

Data abroad, premium rate text messages and premium rate phone services are blocked, but can be unblocked if your job requires it. Your head of office or department must approve the blocked services to be unblocked. To open blocked services, you must fill in the same form as you order a mobile phone contract Beställning mobilt abonnemang and send it to the University tele administrators.

What happens if the included limits run out?

All calls, text messages and data use that exceed the included limits are considered as private use and will be deducted off your salary each month. In order to sign a contract, you therefore have to sign a consent form so that the fee can be deducted from your salary. You give your consent on the same form as you order the mobile phone contract Beställning mobilt abonnemang.

Salary deduction once per month

Every month, the University will be given data from Tele2 on all usage (data, calls and texts) exceeding the applicable contract limits. That usage will be sent to a file in Primula. The salary deduction will be made based upon that information every month. If you have not used more than the contractual amount of usage, nothing will happen.

The deductions made can be seen on your payslip:

  • Mobile texts or MMS within Sweden
  • Mobile calls within Sweden
  • Mobile data within Sweden
  • Mobile usage in general
  • Mobile calls outside of Sweden
  • Mobile data outside of Sweden
  • VAT mobile phone

The expenses you make in the line of duty will be reimbursed by the University

If you ever need to, in the line of duty, make more phone calls, send more texts or use more data than included in the contract, this usage will still be paid through a salary deduction. To get reimbursed, you need to register the salary deduction as an expense in the university administration system Pass. The amount will be reimbursed on your next pay cheque. Instructions on how to register an expense can be found in Pass, or you can ask your administrator for support.
If you notice that the contract you have is not enough for your use, in the line of your duty, please contact your head of office or department to upgrade.

Purchase more data

When you have used 80 per cent of your data allowance within Sweden, you will get a message stating that you are approaching the limit. When you have used up all data, you need to order more before you can use the Internet at normal speed. The extra data you purchase will be paid through a salary deduction.

More data can be purchased either by answering the text message you will receive when you are approaching the data limit, or by submitting a written order to the University telephony administrators.

In order to use data outside of Sweden, you must first unlock the service. When you have used data abroad for SEK 350, you will be notified through a text message. More data can be purchased either by answering the text message you will receive when you are approaching the data limit, or by submitting a written order to the University telephony administrators. The cost will be taken as a salary deduction off your next pay cheque.

Please note! If you install Eduroam on your mobile phone, you will have access to wireless networks at most universities and other public spaces around Europe and can hence save spending a lot of contractual data.

Purchase more calls

The calls included in the contract will usually be sufficient. If you would exceed the contractual limit, you can still continue to make phone calls. In the following month, a salary deduction will be made with the fee for the minutes of calls that exceeded your limit.

Purchase more texts or MMS

The number of texts or MMS (picture messages) included in the contract will usually be sufficient. If you would exceed the contractual limit, you can still continue to send messages. In the following month, a salary deduction will be made of the number of messages that exceeded your limit.

Phone

Your head of office or department decides what phone you may purchase. The university recommendation is that phones should cost between SEK 3,000–4,000. Mobile phones can be ordered from Wisum once you have received approval from your head of office or department.
