Order transcription

Purchase transcription services in English or Swedish through a national framework agreement, and not the University’s own framework agreement. How to order depends on which language is being transcribed and if you are also ordering another service simultaneously. This page presents how to go forward.

Information to add to your order

When ordering transcription, please provide the following information to the supplier:

  • number of speakers;
  • type of transcription (for instance, verbatim, non-verbatim, edited, intelligent or phonetic transcription);
  • length of the material in minutes; and
  • any other relevant information.

Be out in time

Before you hire a supplier to transcribe audio or video material, you first need to carry out an information classification of the material that the supplier will handle. You can find more information about information classification here. If you need advice and support when carrying out an information classification, you can send a request to Servicedesk where you state that you need to carry out an information classification in connection with acquisition.

Depending on the material, it may also be relevant to sign a personal data processing agreement with the supplier. You can find help for this via pulo@umu.se.

Swedish transcription together with proofreading

If you need Swedish transcription at the same time as you order proofreading of Swedish text, you can purchase both services according to ranking from the national framework agreement "Language services – Swedish". This could be transcription of handwritten and/or scanned documents being transcribed and proof-read. The price depends on the format such as for instance handwritten, scanned or video/audio. Prices are available in the suppliers' list of prices.

Swedish transcription as a separate service

If you order a transcription in Swedish separately, without simultaneously ordering proofreading of Swedish text, this counts as an add-on service that must be purchased through reopening competition from the national framework agreement "Language services – Swedish". Fill out the form Order a procurement, and a procurement officer will contact you to go forward. The time to carry out a renewed tender is between 1-3 months. The form is available in English by changing language at the top right.

English transcription as a separate service

English transcription as a separate service is an add-on service that must be purchased through reopening competition from the national framework agreement "Translation English". Fill out the form Order a procurement, and a procurement officer will contact you to go forward. The time to carry out a renewed tender is between 1-3 months. The form is available in English by changing language at the top right.

Transcription of other languages than Swedish or English

Umeå University has no framework agreement for the purchase of language services to and from other languages than the combination Swedish and English, and a national framework agreement has been postponed. Read more on avropa.se (the National Procurement Services) before purchasing such services.

If no framework agreement is in place, you may conduct a direct award of contract.

Contact or complaints

If you are dissatisfied with a delivery, please notify the supplier and report to the Procurement and Purchase Office through upp.adm@umu.se. You can also turn there if you have other questions about the framework agreement.
