On March 20, "sensitivity labels" will be introduced for all employees

28 February 2024

Umeå University is now introducing a new support that helps all employees manage their work documents in Microsoft 365 in a secure way, based on their current protection value. The support is called "sensitivity labels" and makes it possible to use a label to evaluate and indicate the level of protection on, for example, Word documents or PDFs to be shared with others. In connection with the introduction, an instructional video, advice and various webinars are available.

How to use "sensitivity labels"

"Sensitivity labels" help you as an employee to specify the appropriate level of protection on the Office documents you work with, for example documents you create in Word, Excel and Powerpoint. You can also use "sensitivity labels" for your email with associated attachments. The label you choose to put on your working document signals how the document should be stored and shared. A default label that you can raise or lower is always set automatically.

Choose the right label

There are four different levels of "sensitivity labels" that all mean different levels of protection; "open", "restricted sharing", "confidential" and "strictly confidential". By choosing a label, you tell how protective your information is, how it may be shared and where it should be saved. More information about the content of the different labels can be found here: https://www.aurora.umu.se/en/service-and-support/it-and-online-services/your-digital-workplace/security-in-microsoft-365/sensitivity-labels/

Note! The levels for the sensitivity labels follow the levels of protection needs set for information classification of information processing and also facilitate the work of living up to laws and regulations regarding personal data and information security.
