Group travel by bus

The university has a framework agreement for group bus travel. This page describes how to book a charter bus for a group of employees, students, or guests.

What can the agreement be used for?

For example, this agreement can be used to:

  • The agreement primarily applies to group trips with any of the university campuses as the starting and/or ending point, within Västerbotten and adjacent counties. Other trips can be requested but cannot be guaranteed by the provider.
  • transport a group of employees at planning days, Christmas parties and other joint activities.
  • transport a group of students and teachers within the framework of our courses, for example during excursions.
  • transport a group of participants at conferences.
  • transport a group of participants in study social activities organized by Umeå University.

Who can order a bus trip?

To order group travel by bus, you need to be registered as a customer in the ordering system established at your department or office.

This means that the head of department or head of office has delegated the right to make orders to you. Responsibility for ordering correctly remains with the head of department or equivalent manager. If you are unsure whether you have the right to make orders, ask your head of department or equivalent manager or your financial administrator about what applies for your department or office. Comfort, safety, accessibility and environment

According to Umeå University's framework agreement, the vehicles must have:

  • comfortable chairs with folding armrests.
  • air conditioning.
  • interior materials that minimize allergies.
  • three-point belts in all places.
  • headrest/high back on all seats.
  • alcohol interlock system.
  • fire protection and first-aid equipment
  • contrasting markings on steps.

In case of special needs, it must be possible to order.

  • an accessible bus; and
  • bring a service dog.

Umeå University has agreed that the buses will be powered by renewable fuels.

Prices

Prices for group travel with a booked bus are regulated in the agreement.
The price depends on the duration of the journey in time and distance as well as the size of the bus.

If you need an accessible bus, for example with a wheelchair lift, additional costs may be added. In that case, this will be indicated on the order confirmation after you have made your booking.

 

Prices:

  • The startup fee is SEK 1,600 per vehicle.
  • The hourly rate, excluding any supplement for inconvenient working hours, is SEK 700 per hour.
  • For a smaller bus that transports 1 to 22 people, the current price is SEK 12.50 per kilometer.
  • For a larger bus that transports  to 53 people, the current price is SEK 15.50 per kilometer.

Ordering

Orders for group trips by bus are made by phone or email. When ordering, you must always state the reference code and invoice address

When ordering, specify:

  • date and time of travel
  • place of departure and destination
  • number of passengers
  • any special needs
  • customer reference number (four numbers + three letters, e.g., 7500ABC)
    billing address

The supplier must return with an order confirmation within two working days.

Cancellation of a booked bus journey

Cancellation is made via email to the supplier where the booking was made.

Cancellation is free of charge if made no later than 24 hours before departure.
If the cancellation is made less than 24 hours before the departure time, the supplier is entitled to full compensation for the booked trip.

Payment

Payment is made in arrears against e-invoice. Payment terms 30 days.
