Booking rooms

You book your own rooms using our room booking system TimeEdit. You can contact Infocenter if you need help with booking.

About 260 classrooms, conference rooms and group study rooms may be booked by Umeå University personnel.

Regular booking rules for jointly owned premises now apply
The Vice-Chancellor has decided to apply regular booking routines for bookings and cancellations for jointly owned and bookable premises from March forward.

Have you booked a room and need help with the technology?

Notify the Infocenter or Campus Services Office in the building 2 days before you plan to use the room.

Rooms that are not booked in TimeEdit

You can book most rooms yourself in TimeEdit, but there are some exceptions, see Bokning av övriga lokaler.

Cancellation rules

For internal bookings, cancellation must take place with a minimum of two full working days between cancellation date and the time of the booking.

For external bookings, cancellation must take place with a minimum of five full working days between cancellation date and the time of the booking.

Organising an evening or weekend event in a jointly bookable room

To organise an evening or weekend event, with or without alcohol, in a jointly bookable room, a special agreement must be drawn up between an organiser responsible for the event and Campus Services Office.

Complete and submit form

  1. The organiser responsible completes the form entitled Avtal för arrangemang kväll eller helg i gemensamt bokningsbar lokal.
  2. The person responsible from the student union or equivalent approves the event by studying the content and signing the form.
  3. The organiser emails the form to infocenter@umu.se no later than five working days before the event is to be held.
  4. The form is registered by Infocenter and sent to the FM manager/area manager responsible at Campus Services Office for approval.

Please note that

  • Additional costs are the responsibility of the student union/equivalent, e.g. extra cleaning measures. The invoice recipient must be stated on the form.
  • An event where alcohol is consumed must end by 24:00 at the latest.

Other procedures and rules

As the organiser, you must contact Campus Services Office in the building well in advance of the event to agree on the unlocking of doors, and to obtain information about cleaning equipment, handling alarms, etc.

  • If you need to hire a cleaning service in connection with the event, contact Infocenter no later than seven working days before the event.
  • Study the information in the Rules for Premises and local procedures, if there are any.

Organising an evening or weekend event in a room rented by a department

To organise an evening or weekend event, with or without alcohol, in a room rented by a department, a special agreement must be drawn up between an organiser responsible for the event and the head of department, unit manager or equivalent who is renting the room.

Complete and submit form

  1. The organiser responsible completes the form entitled Avtal för arrangemang kväll eller helg i institutionsförhyrd lokal.
  2. The head of department responsible or equivalent approves the event by studying the content and signing the form.
  3. The organiser emails the form to infocenter@umu.se no later than five working days before the planned event.
  4. The form is registered by Infocenter in the relevant IT system for distribution to those concerned (campus security, security function, etc).

Other procedures and rules

  • As the organiser, you must, if necessary, contact Campus Services Office in the building well in advance of the event to agree on the unlocking of doors, and to obtain information about cleaning equipment, handling alarms, etc.
  • If you need to hire a cleaning service in connection with the event, contact Infocenter no later than seven working days before the event.
  • Study the information in the Rules for Premises and local procedures, if there are any.

Serving permit

A serving permit is generally not required if the serving:

  • refers to a single occasion for pre-determined persons (it may not be addressed to the public)
  • takes place without a profit interest and at no other cost to the participants than the cost of purchasing the drinks
  • takes place in a room where there is no professional sale of alcoholic or soft drinks.

The above points provide good guidance on whether a serving permit is needed or not. For some events, however, it can be difficult to make the assessment and if you are unsure, you can read more on Umeå municipality's page about serving permits: Serveringstillstånd - Umeå kommun.

Creating course timetables directly in TimeEdit

You can both make things better for students and simplify your own work by creating a timetable for the students in the TimeEdit system. The manual contains information and instructions about how to use TimeEdit to produce timetables.

The booking of group study rooms for students

In connection with their ongoing courses, students who are enrolled or admitted to Umeå University have the opportunity to book a group study room. The maximum of booking is 24 hours over a 5-day period. To make a booking, students must login with their Umu ID.
