If you want to use Zoom to organize digital meetings, there are several different types of meetings to choose from. On this page, we describe more about the different types of meetings, what sets them apart and what they can be used for.

Zoom is a service for digital meetings and a tool for e-learning. Zoom is available to anyone with an Umu-id and is a good alternative in educational contexts. You can connect to a Zoom meeting from a web browser, video conferencing system or via the Zoom app on your computer or mobile phone. Zoom can also be used for meetings with people or groups outside Umeå university.

In Zoom you can:

  • set up virtual group rooms for group work (breakout rooms)
  • conduct project meetings
  • give lectures
  • share screen with others to have presentations and show videos
  • chat and create short surveys.

Choose the right type of meeting

There are three different types of meetings in Zoom: Meeting, large meeting and webinar. Which one to use depends on what you need for your meeting.

Meeting in Zoom

The meeting type meeting in Zoom is suitable for when you want to hold meetings with interaction. That is, where you need to be able to interact with the participants - discuss, share audio, video and screen. A meeting in Zoom can have up to 300 participants. In this type of meeting there are two different types of roles:

  • Hosts (and co-host)
  • Participants (attendees)

Large meeting in Zoom

The meeting type large meeting in Zoom is suitable for when you want to arrange meetings with interaction. That is, where you need to be able to interact with the participants - discuss, share audio, video and screen. The difference between a regular meeting and a large meeting is that in a large meeting you can have up to 500 participants.

To be able to organize a large meeting, you need a license. The license is temporary and you order it via Servicedesk. Only employees at the university can order a license.

In this type of meeting there are two different types of roles:

  • Hosts (and co-host)
  • Participants (attendees)

Webinar in Zoom

The meeting type webinar is suitable when you want to hold a larger meeting (for example a lecture) where you do not need the participants to be able to interact with each other. A webinar usually has one or two speakers. A webinar can have up to 500 participants.

To be able to organize a webinar, you need a license. The license is temporary and you order it via Servicedesk. Only employees at the university can order a license.

In the meeting type webinar, there are three different types of roles:

  • Hosts (host and co-host)
  • Panelists
    Panelists have full rights to speak via microphone, share video and all other features that Zoom has. Panelists can also communicate with each other via chat without this being visible to participants.
  • Participants (attendees)
    Participants in a webinar are not expected to actively participate in the same way as in the other types of meetings. Participants can participate with audio and video if meeting hosts allow this.

Book a room with equipment for digital meetings

Zoom rooms are physical rooms that are equipped with technology that enables, for example, hybrid meetings and hybrid teaching.

The room has a control panel, large screen and microphones for sound recording. You can choose to use the room's own meeting ID or invite the room to your own Zoom meeting.

Mandatory system update

From autumn semester 2023, a mandatory system update will be required on Zoom for Umeå University users after recommendations by the service supplier Sunet. This new routine is introduced as a security measure to protect users against known and unknown threats, and to secure our digital presence.

Security updates are now available for Zoom. From Thursday, 7 September, all users need to update Zoom to the latest version. If you wish, you can update to the latest version prior to that date.
