Processing the results

This page contains support for heads of department, other managers and HR officers when it comes to processing and presenting the results of the 2024 employee satisfaction survey.

The supplier Quicksearch will present the results to each faculty, the Umeå University Library and the University Administration at a heads of department's meeting or equivalent forum in April or May.

The results for your department, office or equivalent will become available in the Quicksearch results portal approximately from the end of April. You will receive an email with login details from 'Umeå University/Quicksearch' with the subject 'Kontoinformation till Resultatportal' sometime between April 22nd and May 8th. If you haven't received any email with login information during this period, it might have ended up in your 'Other' folder in your Outlook inbox.

The following information presents how managers with staff responsibilities can produce, interpret, present and process the results of the employee satisfaction survey at their department, office or equivalent.

View and interpret the results for your department, office or equivalent

For heads of departments or other managers with staff responsibilities, the results portal offers an online training course. Through the course, Quicksearch goes through how you can find your results and interpret them. The training course takes place on Monday 22 April and is held in Swedish. It you do not have the opportunity to participate on this occasion, a recording of the presentation (in Swedish) will be published on this page after 22 April. When working with your results and the results portal, you can also get support from your nearest HR officer. In that case, it is good if your HR support also signs up for the training course.

To support managers in how to interpret and present results to staff, there is a PowerPoint presentation available containing clarifications concerning feedback on results, anonymity limits, background variables, eNPS and employee index.

Going through the results in your management team and with HR

Go through and discuss the results together with your management team and your HR officer, and if necessary, the dean or equivalent.

Please remember that you can get support through your superior line manager or the University's occupational health service provider should you feel the need.

Call in the work environment and equal opportunities team

Discuss and analyse the results together with your work environment and equal opportunities team or equivalent. If you do not have such a group, you can instead discuss the results with your work environment representative and your management support for equal opportunities (previously called equal opportunities representative) at your department, office or equivalent. The work environment representative is an important link between the manager and the staff at the department or office, and the Work Environment Act stipulates that this representative must be invited to join such work.

Preparing a presentation of the results

Prepare a presentation of the results to show your members of staff. Please remember that your nearest HR officer, the management support for equal opportunities and the work environment representative can aid you in this task.

You can download a complete PowerPoint presentation containing the results for your department, office or equivalent from the Quicksearch results portal. The presentation is available in Swedish and English.

Presenting the results for your staff and work towards improvements

Hold the presentation at a workplace meeting (APT), preferably in the presence of the HR officer, the management support for equal opportunities and the work environment representative. Discuss what the new results indicate. Work together to pinpoint prioritised risks, important work environment perspectives to maintain, and any measures needed. This work is preferably conducted in small groups. Your work must be documented in the department's or office's action plan for systematic work environment and active measures.

Document risks in the action plan

Work environment and active measures activities must be systematic and continuously in progress. Managers with responsibility for work environment tasks must ensure that work environment risks and obstacles to equal opportunities for students and staff alike are documented in the department's or office's action plan for systematic work environment and active measures. Risks must be assessed and measures must be documented in the action plan and be followed up.
